What does research say about follow-up speed and reminders?
Reply fast and remind people. Published research supports both: leads contacted within an hour were far more likely to be qualified, and text reminders improved attendance in healthcare trials. Popular claims about exact follow-up counts are a different story.

1. Answer web leads within the hour
What it says
- An audit of 2,241 US companies found 23% never responded to a web-generated test lead; among those responding within 30 days, the average response time was 42 hours (Harvard Business Review, 2011).
- In a separate analysis of 1.25 million leads, firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer.
Limits
US data from around 2010, measuring qualification rather than closed sales.
What to do
Reply to every new lead within minutes in business hours, and send an automatic reply outside them. How to follow up with a new inquiry
2. Text reminders improve attendance
Gurol-Urganci et al., Cochrane Database of Systematic Reviews, 2013 (CD007458)
What it says
- Across 7 trials (5,841 participants), text reminders improved attendance compared with no reminders (risk ratio 1.14, 95% CI 1.03–1.26; Cochrane review, 2013).
- Text reminders worked about as well as phone-call reminders and were cheaper per attended appointment in two studies.
Limits
Healthcare appointments only; results in other businesses may differ.
What to do
Confirm every booking by text and send a reminder before the appointment with a way to reschedule. How to turn inquiries into appointments
3. About the “80% of sales need five follow-ups” claim
No primary source found (checked 27 Oct 2026); see the HBR study above for what is measured
What it says
- This figure is repeated widely in sales blogs, but we could not find a published study behind it, so we don't use it.
Limits
Not finding a source isn't proof the claim is wrong; it means we can't check it.
What to do
Decide how many follow-ups to send from your own data: track replies by attempt number for a month and stop where replies dry up. How many times should I follow up with a lead?
